Why this exists

Most clubs run on four systems that do not talk.

Ask a committee where the club's information lives and you get a list. The membership spreadsheet the secretary keeps. The events tool people register through. The sign-in book, or the group chat that stands in for one. And the invoicing, sitting apart from all of it in the treasurer's own setup.

Every one of them holds a version of the same member, and every one of them is maintained by hand. Renewals get chased from a spreadsheet. Attendance gets counted back through a year of sign-in sheets when someone needs a support letter. The AGM pack gets assembled the week before from four sources that disagree. And when the club changes committee, most of that knowledge leaves with the laptop it was kept on.

The work does not disappear. The re-typing does.

Ballistics Club replaces the four with one. A member's details, their registrations, their attendance, their payments and their compliance record are the same record, kept current by the people who already touch it. Nothing is re-keyed, and nothing has to be reconstructed later.

Three portals

Three ways in. One record underneath.

The committee, the members and the scorer at the table each need a different view and different permissions. They do not need different systems. All three portals read and write the same record, so a name corrected on club night is corrected everywhere, and a score entered at the range is on the member's history before they get to the car park.

Admin portal

For the committee. The whole club in one place: the member directory, categories and renewals, billing runs, event setup, and the reports you need before an AGM. Every change is logged with who made it and when, which matters most in the month after a handover.

Member portal

For members. Their own record, kept current without an email to the secretary. They renew, update their details and payment method, register for events and training, and see their own attendance and results, including how they are tracking against support requirements.

Scorer portal

For the scorer table. Built for a clipboard replacement, not a desk. Squad and relay lists for the day, score entry with running totals, attendance marked as competitors shoot, and results published to the club site when the match is done.

What it does

Built for how a club's week actually runs.

Billing, attendance, disciplines and scoring are part of the same platform, because in a club they are already part of the same week. A registration on Tuesday becomes attendance on Saturday, a line on an invoice, and a row in an export, without anyone carrying it across.

Bring a whole season in at once. Imported events flow through to registration, attendance, billing and reporting in the same pass, so a year of fixtures is set up in an afternoon.

Ballistics Club supports the compliance workflows a Western Australian shooting club runs today: attendance recorded as it happens so it stands up to scrutiny later, support requirements tracked against real attendance rather than recollection, and reporting written in the language a WA club and its regulator already use.

Western Australia is where we started and where the language is tuned. Support for broader regulatory contexts is on the roadmap, and the underlying record is already structured for it.

Ballistics Club supports your club's compliance workflows. It does not replace your club's obligations, or advice from your regulator.

What's included

One subscription. Nothing bolted on afterwards.

There's no separate charge for the portals, no separate project for onboarding, and no meter running on ordinary support. It's one subscription, and this is what it covers.

The whole platform

All three portals, admin, member and scorer, for your whole club. Not a per-portal add-on.

Hosting in Australia

Your club's records are hosted in Australia, with regular backups kept while the service runs.

Migration, setup and training

We bring your existing records across, configure the platform for your club's categories and disciplines, and train your committee. Part of getting started, not a separate project.

Regulatory currency at no charge

Faults, security work and keeping up with WAPOL and law changes are never charged, and never counted against your included support.

A support allowance

An included support allowance, sized to your club, covers support, training, configuration changes and help with your data. It doesn't cover building new features. Time rounds to the nearest 15 minutes, either way, quick committee questions aren't debited, and hours don't roll over into the next year.

Before you commit

Every club starts with a free trial: two calendar months from when you send us your first batch of data, running alongside whatever your club uses today. You bring real records, we bring the platform, and there's no obligation. If it's not right for your club, we export your data and delete it.

Who owns our club's data?

Your club's information belongs to your club, not to us. We host it and use it only to run the platform for you, and we don't sell it or share it beyond the providers we need to run the service, such as our hosting provider.

Can we get our data out?

Yes. Your club's records belong to your club, and we'll give you a copy whenever you ask, in a common format such as CSV. Today that's something we do for you, as support work covered by your included hours, rather than a button in the portal. Self-service export is tracked and not built yet. We'd rather tell you that now than have you find out later.

Does it help with WAPOL paperwork?

Yes. Ballistics Club prepares Western Australia Police Force firearms forms and records from the information already in your club's records, so nobody re-types member and attendance details onto a form by hand. Your club is still responsible for checking each form before it's signed and lodged.

Who hosts it?

We do. The service is hosted in Australia, and we look after hosting, maintenance and upgrades so your committee doesn't have to.

What happens if we leave?

When your club stops using the service we delete its information in line with our data retention practices, and sooner if you ask us to. Copies in routine backups aren't restored and expire in the ordinary backup cycle, and we keep only what we're legally required to, such as invoicing records.

What's the free trial, in plain words?

A real trial with your own data, not a demo account. It runs for two calendar months from when your club sends its first batch of data, side by side with whatever you use today, so nobody's cut over before they're ready. There's no obligation, and if you decide it's not for you, we export your data and delete it.
